OSK Abstract Submission Guidelines
Here are the guidelines for submitting your abstract to the OSK Conference 2025.
General Information
Who can submit: Ophthalmologists, OCOs, Optometrists, Medical Practitioners, and other Allied Eye Health Workers.
Submission method:
All abstracts must be submitted in English via email to abstracts2025@osk.or.ke.
Submission limit:
A maximum of 3 abstracts per person is allowed per category (Paper, E-Poster, Image, Video).
Indicate type:
You must clearly state the type of abstract you are submitting (Paper, E-Poster, Image, Video).
Review process:
All abstracts will be reviewed by the OSK Conference 2025 Scientific Committee. The committee has the final say on acceptance and reserves the right to re-categorize a submission (e.g., from Paper to E-Poster).
Presenter requirement:
If your abstract is accepted, one of the authors must present it. The presenter must be a registered delegate and pay all applicable fees.
Notification:
The submitting author will be notified of the abstract’s status via email.
Deadline:
The submission closing date is Friday, September 30, 2025.
Instructions for Papers and E-Posters
Abstract length:
Maximum 250 words.
Format:
Title: Maximum 20 words.
Authors:
List all authors’ full names, affiliations, and email addresses.
Structure:
Follow this format: Background, Methods, Results, Conclusions.
Content:
Only abstracts with final results or conclusions will be accepted.
Abbreviations:
Spell out abbreviations in full the first time you use them, with the abbreviation in parentheses.
Financial disclosures:
Disclose any financial interest or funding received from a company related to your subject matter. This must also be included on the first slide of your presentation.
Instructions for Case Presentations and Operational Papers
Abstract length:
Maximum 250 words.
Format:
Title: Maximum 20 words.
Authors: List all authors’ full names, affiliations, and email addresses.
Structure: Follow this format: Case Description, Why is the case being presented, Learning point.
Instructions for Image Submissions
Categories:
You can submit photos in one of two categories: Clinical or Diagnostic (includes imaging like x-rays).
Technical specs:
Photos must be taken with a camera of at least 5MP to achieve 300 ppi.
Usage agreement:
By submitting, you agree to have your photo used on the OSK website for informational, educational, or advocacy purposes. Please tick the “I agree” box.
Required information:
Category (Clinical or Diagnostic)
Title/label
Narration (maximum 100 words)
Consent (Yes/No/Not applicable)
Photo credits (the identity of the person who took the photo)
Instructions for Skill Presentations
Submission:
Send a written summary of the skill you wish to demonstrate. Further instructions will be provided if your submission is accepted.
Instructions for Video Submissions
Judging criteria:
Videos will be judged on their educational value, originality, scientific content, clarity, and expert use of the medium.
Submission:
Submit a video abstract by September 30, 2025.
Video abstract:
Limited to 120-150 words.
Video title:
Limited to 20 words.
Background statement:
A separate background statement (maximum 250 characters) is required. This is for the selection committee only and will not be published.
Video format:
Videos must be a final, edited version.
Narration:
Narration in English is essential. English subtitles can also be used.
Copyright:
Do not use copyrighted music or materials without written authorization. You agree to indemnify OSK from any copyright infringement claims.
Permissions:
You are responsible for obtaining permission for any images or identifiable patients used in the video.
Disqualification:
The committee has the final say and may disqualify videos with offensive racial, sexual, political, or religious content.
Presenter attendance:
The main producer of a selected video should attend the event to answer questions.
Credits:
The opening credits must include a financial interest statement. Videos should not promote any commercial products.
Duration:
Videos should not exceed 5 minutes.
Labeling:
The video must be properly labeled with the main producer’s name and the title, ensuring it matches the title in the submission and the video itself.
Content:
Graphics, illustrations, and animation can be used to clarify points. The video should not be a recorded PowerPoint presentation.
Video Specifications
Formats:
MPEG, AVI, WMV, or QuickTime (MOV).
Preferred format:
MPEG-4.
Resolution:
Maximum 1280×720.
Compression:
Do not use DivX compression.
Frame rate:
30fps or less.
